These terms govern the use of the Artificial Intelligence (AI) Assistant provided by the Faculty of Language and Literature Education, Universitas Pendidikan Indonesia, as part of the faculty’s digital information services.

1. About the FPBS AI Assistant

The FPBS AI Assistant is an artificial intelligence–based service designed to help users access general information related to academic matters, services, and activities within FPBS. This service is intended for informational purposes and does not replace the role of faculty staff, lecturers, or official service units.

2. How It Works and Scope

The AI Assistant operates automatically by using publicly available FPBS information, internal knowledge sources, and the context of the page being accessed by the user. The AI Assistant does not have the authority to issue policies, academic decisions, or official administrative determinations.

3. Input and Output

“Input” refers to questions or text submitted by users through the chat service, while “Output” refers to the responses generated by the AI system. Outputs are provided as a preliminary reference and should be verified through official FPBS channels, particularly when related to important information or administrative matters.

4. Data Logging and Usage

For evaluation and service improvement purposes, the system may record interaction data such as submitted questions, timestamps, language used, page context, and system response time. Data is used for internal purposes and is not sold. Prior to starting a conversation, the system collects personal data including full name, email address, and phone number through an initial registration form. This data is linked to the conversation session and stored in an internal database for administrative and service evaluation purposes. Interaction data and personal data are retained for as long as necessary for service evaluation and may be deleted upon a formal request to the system administrator.

5. Third-Party Processing Services

To generate responses, the system uses artificial intelligence models from OpenAI (including GPT-3.5-turbo and GPT-4o-mini) to process messages and formulate answers. The system infrastructure utilizes cloud services from Cloudflare, including database storage and semantic search. Messages submitted by users may be forwarded to these third-party servers for processing. Use of these services is subject to the respective providers' privacy policies. By using this service, users are deemed to consent to data processing by the aforementioned third parties.

6. Privacy and Sensitive Information

Users are advised not to submit sensitive personal data through this service, including but not limited to identification numbers, passwords, financial information, or other confidential data. FPBS is not responsible for risks arising from the submission of sensitive information by users.

7. Limitation of Liability

Users acknowledge that responses generated by the AI Assistant may be inaccurate, incomplete, or not always up to date. Information provided by the AI Assistant must not be treated as an official faculty decision and should be confirmed through official FPBS services.

8. Ethical Use

The FPBS AI Assistant must not be used for activities that violate applicable laws, academic ethics, or societal norms, including the dissemination of misinformation, hate speech, discrimination, or misuse of the system.
